Maintenance now means less time later

Ever had to go through storage boxes to retrieve member information from years ago? The member maintenance module in the Employer Reporting and Maintenance (ERM) application will make maintaining member data easier.

With the launch of ERM, all employers in all funds will be required to maintain member data online. This ensures a member’s data is as accurate and up to date as possible. What does this mean for you?

  • Generally, eliminates the need for INPRS staff to contact employers – sometimes decades later – to validate member data in order to process members’ retirement applications
  • Reduces potential wage and contribution validation errors and warnings for cleaner files and less fixing

Employers will be expected to maintain and/or update:

  • Member demographics such as name, gender, and marital status (members must initiate information updates for address, phone, and voluntary pre-tax elections by contacting INPRS)
  • Hire Date changes (employers must contact an INPRS staff member who will then make the change in ERM)
  • Life Events (leave of absence, military leave, return from leave, termination, move from a covered to non-covered position, etc.)
  • Member becomes an elected official or moves out of an elected official position
  • Substitute teacher status (annually revalidate a substitute teacher’s status as substitute, full-time or terminated)

And, once ERM is launched, member maintenance can be completed in one of two ways:

  • Manual Entry – key in each individual member’s updated information directly into the ERM application.
  • Bulk Maintenance – upload a file rather than keying large numbers of member information individually. The bulk maintenance file must meet certain file specifications; these can be found here. This option is available for all Fund employers.

Please note: This information is specific to member maintenance post-ERM launch, projected for early 2012. Until then, please continue member maintenance as you do currently.
