Know your PeopleSoft ID & Password
- The HelpDesk Assistant located on your desktop contains your PeopleSoft ID in the third box down.
- Your state ID has your full ID number under the barcode. Add the first initial of your first name to the last six digits to create your PeopleSoft ID. Joe Smith, ID number = 10000239272. PeopleSoft username = J239272.
- Contact your human resources department.
Remember Your PeopleSoft Password
- The password used to log on to your state-issued computer can now be used to log in to PeopleSoft using your PeopleSoft ID.
- If you have not logged in to PeopleSoft in the past six weeks, your password has been reset to a default PeopleSoft password. Capitalized first initial of your first name, last four digits of your social security number, capitalized first initial of you last name. Joe Smith, Social Security # = 123-456-7890 is J7890S.

Protecting Personal Data
Safeguarding sensitive and confidential data is a responsibility of every state employee, most importantly the personal information of citizens (such as Social Security numbers). Understanding the sensitivity of your data allows you to protect it appropriately so IOT put together the following tips to help keep the state’s personal information secure:
- Classify the data
- Password protect your access using a complex password or pass phrase
- Identify where the data is stored
- Refrain from transportation/transmission of sensitive data
- Limit physical access
- Restrict network or shared access
- Erase data that has been temporarily stored
- Encrypt sensitive/confidential data
- Use separate local or network accounts
- Limit the type of access an account or process requires

Annual Information Systems Inventory Approaching
Every fall, state system owners are required to update the Information System Inventory (ISI), an application that is a “one-stop shop” for gathering system information required for several state statutes as well as the source of disaster recovery classifications for the state. In addition to updating existing systems, this is also an opportunity to add any new systems that may not have been placed in the database during the past year.
Throughout the year, the ISI is used by IOT’s security team to send targeted information about security issues to owners potentially impacted. The information is also used by IOT’s security team and the Commission on Public Records (ICPR) to compile reports for the Governor and General Assembly.
