Create a New Company Record with the BMV

All companies, other than general partnerships and sole proprietors, must present documentation to create a new customer record with the BMV before you can register your company vehicles.

These documents may be presented in person at a branch or mailed to:

Document Requirements for Titling

  1. Proof of Federal Identification Number (FIN) assigned by the IRS. The proof must be indicated on a federal or state form. Examples of acceptable documents include tax returns, letters from the IRS, Indiana Registered Retail Merchant Certificates, etc.
  2. File Marked or Certified Copy of proof of business existence from the filing agency of the state where the business is registered:

    Type of Company Documentation Requirement
    Corporation Certificate of Existence or Articles of Incorporation (or similar document if from another state)
    Limited Liability Certificate of Existence or Articles of Organization (or similar document if from another state)
    Limited Liability Partnership Registration (or similar document if from another state)
    Limited Partnership Certificate of Limited Partnership (or similar document if from another state)
  3. Two proofs of address in the company name (if the correct address cannot be confirmed by the BMV as registered with the Indiana Secretary of State). Examples of acceptable documents can be found on the Real ID Documentation Checklist

Obtaining Company Vehicle Registrations

All vehicles are required to have a certificate of title on record prior to registration, unless exempt from titling under Indiana law.

Companies are required to obtain an Indiana certificate of registration for all vehicles, except for a vehicle that is specifically exempt from registration under Indiana law.

A company that is authorized to do business in Indiana may or may not have an out-of-state address on file as the legal address. A company may provide an Indiana operating address and county for use as a mailing address and tax calibration.

An out-of-state company authorized to do business in Indiana that does not have a ‘brick and mortar’ location in Indiana and does not have an Indiana operating address may have employees residing in Indiana that are permitted to drive the company vehicle. In this case, the company legal and mailing address is used as the out-of-state address. The county of registration for a company that has an out of state legal address is the county in which the vehicle is primarily located or operated, as declared by the registrant. Companies may manage their registration renewal notification preferences by logging into myBMV.

When Do I Register as a Commercial Vehicle?

Federal law defines a commercial motor vehicle as a motor vehicle used in commerce to transport passengers or property. A vehicle is considered a commercial motor vehicle by its gross vehicle weight rating and usage. Document Requirements for Registration

Proof of insurance must be provided to register company vehicles.

Trucks and Semi-tractors: During registration, amend, and renewal transactions, registrants of a truck or semi-tractor which meets both of the following criteria is required to obtain a fuel tax license from the Indiana Department of Revenue’s Motor Carrier Services (DOR-MCS) division:

  • Trucks and Semi-tractors with a declared gross weight greater than 26,000 pounds (excluding farm trucks, farm semi-tractors, and recovery vehicles)
  • Are registered with an electric, hydrogen fuel cell, or propane fuel type

Heavy Highway Vehicles: During registration, amend, and renewal transactions, the form 2290 - heavy highway vehicle use tax return is required, if the following vehicles with a declared gross vehicle weight (GVW) of 55,000 pounds or more:

  • Commercial and farm trucks (excluding recovery vehicles)
  • Commercial and farm semi-tractors
  • For-hire buses

Military License Plates: A vehicle registered in the name of a company may be issued a military plate only if:

  • The company agrees to add the individual eligible for the military plate as a vehicle owner/lessee; AND
  • The individual provides proof of eligibility for the military plate.

Recovery Vehicles: A copy of the Evidence of Financial Responsibility must be provided.

Leased Vehicles: A Statement of Existing Lease Agreement - State Form 12787 or a copy of the original lease agreement must be provided at registration.

Lake & Porter County Registrants: The Emissions Testing Program is designed to improve air quality by ensuring vehicle emissions controls are working properly. The program is a requirement of the 1990 Federal Clean Air Act Amendments and is one part of the plan to improve air quality by reducing hydrocarbons and nitrogen oxides in Lake and Porter counties. The emission number located on the Vehicle Inspection Report is required. For more information visit the Clean Air Car Check website.

Farm Vehicles: The registrant of the vehicle may complete the Certificate of Designation as a Covered Farm Vehicle - State Form 55669.

Collector Vehicles: Registrants of a collector vehicle must complete a Collector Vehicle Affidavit - State Form 56166 upon first-time issuance of a collector vehicle registration and each subsequent registration renewal.

Renewing Company Vehicle Registrations

Registrations must be renewed on or before the registration’s scheduled expiration date to avoid a $15 administrative penalty.

To amend a legal address during the transaction, you must provide two proofs of address.

Online transactions are unavailable for heavy weighted vehicles over 26,000 lbs. and any vehicle that requires additional forms upon renewal (i.e. Collector Vehicle, 2290, Fuel Tax Permit, Public Utility Companies Tax Exemption, etc.)

  • At any BMV Connect Kiosk:
    This is a convenient option for companies renewing 20 passenger vehicles and/or light trucks or less and need registrations and stickers immediately.
  • By Mail:
    If you received a renewal notice in the mail reminding you of an upcoming registration renewal due date and you want to renew through US Mail, send your renewal notices with payment to the following address:

    If you did not receive a notice or received a postcard in the mail reminding you of an upcoming registration renewal due date, you may renew by email. Download this spreadsheet template or create a spreadsheet with the following information and email it to bmvwpccompanies@bmv.in.gov:
    • Company Name
    • Mailing Address
    • Email
    • VIN for each vehicle
    • Plate Number

    A BMV processing center representative will contact your company via email to provide further assistance.

Lost or Stolen Company Vehicle License Plates

If your company is uncertain the plate has been lost or stolen, your company may decide whether to report the plate as stolen to law enforcement. The plate is not required to be reported as stolen.

If your company vehicle license plate was stolen, your company may report the license plate as stolen to law enforcement.

When reporting a plate as stolen to the BMV, you must have law enforcement complete the Report of Stolen License Plate or Registration Decal – State Form 37135 and present the form to a BMV branch at the time of application for a replacement license plate.

When a license plate number has been flagged as stolen, a replacement license plate number (new plate number) must be issued. A duplicate license plate number (same plate number) cannot be re-issued.

When a plate number has been flagged as stolen, it will be ineligible for re-issuance for 5 years from the date that the stolen status was applied to the plate number by the BMV.
