Users enrolled in Multi-Factor Authentication

Beginning October 5, 2022, how you log in to PeopleSoft HCM is changing. PeopleSoft HCM is leveraging Access Indiana to provide a single sign-on system with a more streamlined and secure approach to more than 100 government services.

What's changing? You'll log in with your email address, your password to log in to your computer (if asked), and then you will use Multi-factor Authentication (MFA) to complete the sign-in. This is the same MFA you use today to log in to VPN or Office 365 applications, for example.

Why does this matter? This extra verification step to get into PeopleSoft HCM is due to enhanced functionality, all while increasing security for state employees. When you require a second form of authentication, security is increased as this additional factor is more difficult for an attacker to obtain or duplicate.

How do I know if I already have MFA setup? Go to https://on.in.gov/MFA and sign in with your existing credentials (username and password) that you use today. If you already have either one of Authenticator or Phone enabled, you do not have to take any additional steps.

If you do not have any option enabled, click the Add Method button and follow the prompts.

How can I register for MFA? If you are not registered for MFA, visit https://on.in.gov/MFA to begin.

Instructions:

PeopleSoft Financials users

Beginning October 5, 2022, your sign-in process to PeopleSoft HCM and PeopleSoft Financials is being simplified. Starting that day, you will log in to both services through Access Indiana, but you will use Azure Multi-Factor Authentication (MFA) to gain access. The Azure MFA is the same service you use today to log in to VPN or Office 365 applications, for example.

What's changing? PeopleSoft HCM and PeopleSoft Financials will both use Access Indiana for authentication, and you will use Azure MFA to confirm your sign-in.

Why does this matter? This will affect how you log in to both PeopleSoft HCM and Financials and should make the process a better, smoother experience.

How do I know if I already have Azure MFA setup? Go to https://on.in.gov/MFA and sign in with your existing credentials (username and password) that you use today. If you already have either one of Authenticator or Phone enabled, you do not have to take any additional steps.

If you do not have any option enabled, click the Add Method button and follow the prompts.

The Indiana Office of Technology (IOT) is changing the security to your user account. This means that the extra verification step used to login to Office 365, for example, is changing! Other services will eventually be impacted moving forward.

We show you have not registered for MFA. PeopleSoft HCM is leveraging Access Indiana to provide a more streamlined and secure approach to more than 100 government services. Please register before September 21, 2022. If you have not registered before then, you will be forced to register next time you access one of our current services using MFA.

Register for the new Multi-Factor Authentication (MFA): https://on.in.gov/MFA

You complete the sign-up process using the existing credentials (username and password) that you use to login today. If you have multiple accounts, such as an elevated or admin account, you will need to complete this process for each account (see the bottom of this message for instructions specific to these accounts).

After you register, you will be able to add a safe and secure two-step verification method for your online credentials using either a phone call or a mobile authenticator app on your smart phone.

Next steps

  1. Go to https://on.in.gov/MFA to begin your registration
  2. If asked, sign in with your network credentials
  3. Select ‘Add method’ – see red box

If you do not already have an Access Indiana account or AD account, please use the below information to set up your Access Indiana account. Your created account must be the same email address that is already used to access PeopleSoft. If you do not know what email address is in PeopleSoft, please contact the IOT Helpdesk.
