PHYSICAL PLANT OPERATIONS
Physical Plant Operations is dedicated to ensuring that all the divisions of FSSA can operate effectively, no matter the situation that arises.
To generate a work order ticket with PPO, please make sure that any requests or submissions for the following topics are sent to physical.plantoperations@fssa.in.gov and not directly to the members of PPO:
- Facilities maintenance at IGC / Pest control / Space planning
- ID badges/ Access control / Keys
- State form creation / Records retention / Records destruction / Secure recycle bins
- Post Office boxes / mailing permits / mail stops
- Continuity of operations
- Safety / Floor wardens / Emergency action plans / Emergency management
- General facilities or operations
- All SF53708 incident reports
- Parking issues / Ticket validation management
When you email the group inbox, our new system should automatically create a ticket for you. At this point, a member of our team will triage the ticket and send it over to the appropriate party for resolution. At certain points throughout the process, the system will send an email to notify you as to what is being done to process your request. It is important that if you have questions about the status of the ticket, or if you are responding to a message generated by the system, that you do not alter the subject line. The system will associate your response to the already generated ticket based upon the subject line. If it is altered in your response, there is a chance that the system will generate a completely different ticket and not associate things the way that it should.
Also, note that it is imperative that both the subject line and the body of your message contain information. Simply putting your request in the subject line and leaving the body empty or leaving the subject line empty and filling in the body may result in your request not creating a ticket. Please also include the division and program area that the request is for.
If you have any questions about this, feel free to reach out to us via the email above.
And as always, please remember to utilize PPO as the point of contact when interacting with IARA, IDOA’s Facilities Management, IGC core team, Nishida, and postmasters. This will help to cut down on repeat submissions and subsequent confusion.
Accommodations and Ergonomics
Accommodation requests for ADA or accessibility issues should use the SPD Reasonable Accommodations Policy. For any questions regarding this process, contact FSSA HR or PPO.
Questions or concerns about ergonomic issues should be directed to FSSA HR. Ergonomic issues relate to movement, posture, or environment concerns in the workspace. For concerns that are found to fit within the scope of Ergonomic Issues, a review or inspection will be conducted to identify corrective actions.
Assets Questions
For questions relating to state assets, transfers, or disposals, contact Administrative Services at FSSAAssetManagementDispositions@fssa.in.gov.
